The Stockholm International Water Institute is seeking to hire a full time Logistics and Events Manager for the World Water Week and Prizes department.
The position is a temporary position from October 2013 until 31 December 2014.

The Stockholm International Water Institute (SIWI) is a policy institute that contributes to international efforts to find solutions to the world’s escalating water crisis.
SIWI advocates future-oriented, knowledge-integrated water views in decision making, nationally and internationally, that lead to sustainable use of the world’s water resources, sustainable development of societies and reduced poverty.
World Water Week in Stockholm
The World Water Week in Stockholm is the leading annual global meeting place for capacity-building, partnership-building and follow-up on the implementation of international processes and programmes in water and development.
The 2013 World Water Week had 2,600 participants from 124 countries.
Prizes and Awards
The Stockholm Water Foundation was established in 1990 to encourage research and development of the world’s water environment by awarding the international Stockholm Water Prize.
The Stockholm Junior Water Prize, created as a complement to the Stockholm Water Prize, was awarded for the first time in 1995 as a Swedish national prize, and in 1997 as an international prize.
In 2000, the Stockholm Water Foundation established the Stockholm Industry Water Award.
All prize activities work to honour achievement and inspire action for a sustainable and just future development in water.
About the position
You will be a vital part of a dynamic team at SIWI working with a variety of tasks related to the organisation of the World Water Week and Prizes in Stockholm.
The tasks will include coordinating the logistical and administrative work relating to events, transportation, accommodation, invitation processes, exhibition set-up, team coordinating, recruitment and management of assistants, financial oversight, budget and reporting.
You will be involved in developing and using systems and databases for implementing and monitoring the activities and processes related to the organisation of the conference.
SIWI is looking for a person with a keen eye for details as well as interest and knowledge in developing administrative processes and systems.
Since the World Water Week is an international forum you should enjoy international interaction and be an open and flexible person.
The main tasks will include
- Contractual management and coordination of external professional conference organiser (PCO) and venue
- Planning, administration and booking of all logistical issues in cooperation with PCO and venue (transport, accommodation, meeting rooms, exhibition areas, technical equipment and decoration)
- Participant online pre-registration process
- Administrative process for invitation of special guests
- Recruitment and management of volunteering assistants
- Logistical information for web and World Water Week’s announcements
- Financial administration, budget
Qualifications and experiences
- Extensive experience of organising international conferences/events/meetings
- Very good ability to communicate with high-level persons in English as well as Swedish
- Very good project/programme management skills with the ability to simultaneously handle complex tasks with an eye for details
- Good leadership and team working skills and as well as the ability to work independently and to delegate.
- Good working knowledge of Microsoft Office and preferably database software
- Working/being part of the team is a key issue
